This policy explains what information Fixit processes, why it is used and how you can exercise your rights. It expressly covers data received through WhatsApp Business, calls and web chat.

1. Who is responsible and who this applies to

DAWSEN SA operates Fixit and is responsible for this policy. Contact us at info@ashspark.com.

This policy applies to fixit.chat, the administration dashboard, chat, voice and WhatsApp assistants and Fixit's calendar, knowledge, support and analytics features.

When a company hires Fixit to assist its own customers, that company normally determines the purpose of the conversation and acts as controller. Fixit processes that content for the company and under its instructions. Fixit remains responsible for account, billing, security and support data processed for its own service.

2. Information we may process

The exact information depends on the features you use and what you choose to communicate. We do not request data that is unnecessary for the configured service.

  • Account and business data: name, email, phone, organisation, role, protected credentials, settings, members and preferences.
  • Knowledge content: websites, FAQs, documents, instructions, products, services, opening hours and other information uploaded or connected by the business.
  • Conversation data: messages, files or images, channel identifiers, timestamps, delivery status, transcripts and assistant responses.
  • Call data: originating or destination number, duration, technical events and, when enabled and lawful, audio or transcripts.
  • Booking and support data: name, email, phone, requested service, availability, appointments, notes, consent, changes and cancellations.
  • Technical and security data: IP address, browser or device, required cookies, language, access logs, errors, anti-fraud events and usage metrics.
  • Commercial data: plan, usage, invoices, transactions and payment-provider identifiers. Fixit does not store your full card number.

3. Meta and WhatsApp Business data

Fixit's Meta app only accesses WhatsApp Business resources that an authorised administrator links through the official onboarding flow. This may include the WhatsApp Business account ID, connected numbers, business profile, templates, inbound and outbound messages, media, user identifiers and delivery status.

We use this data only to connect the requested channel, display and manage settings, send or receive authorised communications, respond to the user, perform requested actions and provide history, support and security.

  • We do not access WhatsApp conversations that were not directed to the connected business number.
  • We do not sell information received from Meta, use it for advertising or build profiles unrelated to providing Fixit.
  • We do not use WhatsApp content to train our own general-purpose models.
  • The business must comply with the WhatsApp Business Terms, approved templates, consent requirements and rules applicable to each conversation.
This policy contains the public instructions for requesting deletion of data received through Meta and WhatsApp.

4. Artificial intelligence, voice and knowledge

Fixit combines content authorised by each business with artificial-intelligence models to understand requests, retrieve relevant information, draft replies, summarise conversations and, when configured, help book or hand off support.

Audio may be processed in real time to recognise and generate speech. A recording should only be retained when the business enables that option, informs people and has a lawful basis. If audio is not retained, a transcript and technical data may persist for history, quality and security.

AI output may be wrong. Fixit is not a replacement for emergency services and must not be used to make automatic medical, legal, financial, employment or other decisions with significant effects on a person.

5. Why we use information

We process data to perform a contract, answer requests, follow business instructions, obtain consent where required, protect legitimate security and quality interests and meet legal obligations.

  • Create and administer accounts, businesses, assistants, connections and permissions.
  • Respond by chat, WhatsApp or voice, retain context and perform authorised actions such as finding information or booking an appointment.
  • Index and retrieve knowledge supplied by the business.
  • Deliver requested notifications, reminders, follow-ups and support communications.
  • Measure usage, manage plans and billing and prevent unauthorised charges or use.
  • Detect fraud, abuse, errors and incidents and protect the service and its users.
  • Fulfil rights requests, legal obligations and audit controls.
  • Improve reliability and experience through aggregate metrics or previously anonymised data.

6. Who we share data with

We do not sell personal data. We disclose it only when needed to provide a purchased feature, follow valid instructions, comply with law or protect rights and safety.

If you buy through Paddle, we share the details needed to identify your account and reconcile the purchase. Paddle collects payment and billing information and acts as an independent controller for sales, tax, fraud prevention and refunds. Fixit receives customer and transaction identifiers, payment and subscription status, amounts and billing details needed to provide the service; it does not receive your full card number.

  • The business that configured the assistant and its authorised members.
  • Meta and WhatsApp to operate the WhatsApp Business channel.
  • AI and cloud providers, including Google Cloud/Gemini when that engine is used, to process required requests.
  • Telephony, audio or connectivity providers that carry the configured call or channel.
  • Hosting, database, storage, security, analytics, email and payment providers acting under contract and with limited access.
  • Authorities or third parties where a valid legal obligation requires it or to prevent harm, fraud or abuse.
Each integration receives only the data needed for its function. A business can choose not to connect an optional channel.

7. International transfers

Fixit and its providers may process information outside your country. Where required, we use contracts, security measures and other recognised safeguards. A business using Fixit must inform its own customers of transfers resulting from its configuration.

8. Retention

We retain data while the account or feature is active and for as long as reasonably necessary to provide the service, resolve issues, answer requests, prevent abuse and meet legal, accounting or security obligations.

When no longer needed, data is deleted or anonymised. Backups are replaced on restricted cycles and are not returned to ordinary use. Minimum records may be retained if required by law or to evidence a request, prevent fraud or resolve a dispute.

9. Security

We apply organisation-level access controls, encryption or equivalent protection for credentials and sensitive data, audit logs, webhook validation, usage limits and continuity measures. No Internet system is infallible; we investigate and report incidents as required by applicable law.

10. Your rights and choices

Depending on your country and relationship with the service, you may request access, correction, update, objection, restriction, portability or deletion, withdraw consent and complain to the relevant authority. You can also change preferences through the business that contacted you or your Fixit account when available.

If your request concerns a conversation managed by a Fixit customer, that business may be the primary controller. You may contact it directly or contact us; we will coordinate the request rather than leave you caught between providers.

11. How to request deletion of your data

Email info@ashspark.com with the subject “Fixit data deletion”. Include your name, the phone number or email used, the business you interacted with and what you want deleted. Do not include passwords or full identity documents in your first message.

We will acknowledge receipt, verify identity using the minimum necessary information and determine whether Fixit or the connected business must fulfil the request. We will delete or anonymise the relevant data within the applicable legal deadline and send confirmation. If a legal or security obligation requires us to keep part of it, we will explain why and to what extent.

  • The request can cover Meta/WhatsApp identifiers, messages and files stored by Fixit.
  • It can also cover transcripts, enabled recordings, bookings, contact records and linked account data.
  • To stop messages only, you can opt out with the business contacting you; an opt-out does not necessarily delete the full history.

12. Children

Fixit is a business service and is not directed to children. Businesses that assist minors must configure channels, notices and consent under applicable law and limit data to what is strictly necessary.
